About the Role

AIT Worldwide Logistics is seeking an experienced Assistant Manager – Ocean Exports to manage end-to-end ocean export operations. The successful candidate will be responsible for coordinating export shipments, managing documentation, ensuring customs and regulatory compliance, liaising with shipping lines and overseas partners, and delivering exceptional customer service throughout the shipment lifecycle.

The role requires strong operational expertise in ocean freight, export documentation, carrier coordination, and stakeholder management to ensure timely and cost-effective shipment execution.

Key Responsibilities

Ocean Export Operations

• Manage end-to-end execution of Freehand, Nomination, and Locally Sold Ocean Export shipments, including Break Bulk (BB), Out of Gauge (OOG), and Full Container Load (FCL) shipments.
• Coordinate shipment planning, booking confirmation, cargo movement, and final delivery in accordance with customer requirements and company SOPs.
• Monitor shipment milestones and proactively resolve operational issues to ensure timely execution.

Export Documentation

• Prepare, review, and verify export documentation, including Shipping Instructions (SI), Bill of Lading (BL) drafts, Verified Gross Mass (VGM) submissions, Shipping Bills, Commercial Invoices, Packing Lists, Certificates, and other export-related documents.
• Ensure documentation accuracy and compliance with international shipping regulations and customer requirements.
• Support customs clearance activities by coordinating with Customs House Agents (CHAs) and regulatory authorities.

Carrier & Vendor Management

• Coordinate with shipping lines, NVOCCs, Customs House Agents (CHAs), transporters, shippers, and overseas offices to ensure smooth shipment execution.
• Manage booking placements and shipment schedules with carriers and logistics partners.
• Build and maintain strong relationships with vendors to ensure service quality, operational efficiency, and business continuity.

Customer & Stakeholder Management

• Partner with Sales, Customer Service, and overseas offices to provide timely shipment updates and resolve customer queries.
• Support customer business reviews and contribute to service improvement initiatives.
• Ensure high levels of customer satisfaction through proactive communication and issue resolution.

Compliance & Operational Excellence

• Ensure compliance with customer Standard Operating Procedures (SOPs), company policies, and operational Key Performance Indicators (KPIs).
• Maintain adherence to export regulations, international trade requirements, and internal quality standards.
• Support continuous process improvements that enhance operational efficiency and customer experience.

Required Qualifications

• Bachelor's degree in Logistics, Supply Chain Management, International Business, Business Administration, or a related discipline.

Experience

• 5–6 years of experience in Ocean Export Operations, Freight Forwarding, or International Logistics.
• Experience handling exports to USA, Europe (EU), and other international markets.
• Strong knowledge of export documentation, customs procedures, carrier coordination, and ocean freight operations.
• Experience managing Break Bulk (BB), Out of Gauge (OOG), and containerized cargo shipments.
• Working knowledge of Dangerous Goods (DG) and Good Distribution Practice (GDP) requirements is preferred.
• Experience with CargoWise or similar freight forwarding software will be an added advantage.
